Getting Your Ideas to Print: A Guide to Submitting Your Requests to Marketing and Printing Services

NEED A JOB DESIGNED, REDESIGNED OR REVISED?

Fill out a Design Request Form
The Design Request form will go over the basic specifications Marketing and Printing Services needs to know in order to get the job started.

For documents less than 10 pages

Submit your request electronically or by intercampus mail at least three weeks prior to when you want to see a final proof.

For documents more than 10 pages

Should the job you are requesting exceed 10 pages (for example, Undergraduate Catalogue, Viewbook, Johnson Views, etc.), please submit your request two months prior to when you want to see a final proof.

Schedule a Meeting
Because a form rarely covers everything you'd like to
communicate, schedule a meeting with Eric Kirk, Publications Specialist (802-635-1250, eric.kirk@jsc.edu), to go over your request in detail, and to work out a schedule of production.

Sign Off for Approval
Once the job is in design, you will work with Eric on a series of proofs to review and make sure all the content is correct. Once the final proof is provided, you will need to sign an Approval to Print form.

The form and proof will then require the approval of the College Communications Director. With these two signatures, the job may then proceed to print.

Last-Minute Jobs

Of course, we understand that last-minute jobs come up. Should this be the case, please fill out a Design Request form, and contact Eric as soon as possible.

I only need a few things updated — can I just make the changes myself? Yes!

Fill out a Design Request Form, and choose 'Template'
Choosing 'Template' under Job Type on the Design Request Form tells Marketing and Printing Services that you need a well-designed document with the convenience of updating it yourself according to your own planning.

Each template is designed in Microsoft Publisher. You'll need to have this program on your computer in order to update your template.

You will only be permitted to change certain elements within your document (such as text and photos). Should you want or need to change larger design elements within your document, please contact Marketing and Printing Services.

Not sure if your project is right for a template?
Oftentimes, the only revisions a job needs are dates, locations, staff/faculty, or new verbiage. If you can foresee these types of changes in your project, then a template request is right for you. Below are some items that are already using templates.

  • Event Programs
  • Forms
  • Newsletters
  • Annual Mailers

When you've completed your changes, send your document off to the Printshop as specified below.

  • HOW DO I GET MY DOCUMENT PRINTED?

Fill out a Print Request Form
The Print Request form will go over the basic specifications the Printshop needs to know in order to print your job. It covers things like paper size, paper type, quantity, etc. The form can be submitted either electronically or by intercampus mail.

Submitting your print requests electronically will guarantee a faster turnaround.

For all jobs over 500 copies, please give the Printshop one week to schedule and print. If you are printing posters, the Printshop is more than happy to post them around campus; however, posting off campus will be left up to you.

  • HOW DO I GET BUSINESS CARDS, LETTERHEAD, OR ENVELOPES?

Fill Out a College Stationery Order Form
Requesting any of these three items is as easy as filling out a College Stationery Order form. The form can either be submitted electronically or by intercampus mail.

IMPORTANT: JSC stationery is now being ordered without department titles. If you want department-specific stationery or business cards, your department will be billed for printing costs.

Think Tuesday!
Every Tuesday business card, letterhead, and envelope orders will be sent to the printer. Please consider that it generally takes the printer two weeks to fulfill JSC's weekly orders. (Two weeks not fast enough? We can expedite orders, too!)

Business Cards Need Approval
Business cards must be approved by the requester before being sent to the printer. A PDF proof will be e-mailed to the requester, and a simple response approving the card is all that is necessary to complete the process.
